1. Groups setup

1.1 Project teams

Anyone who is listed in the EIS as a Project Leader has the authority to manage their own project team. This means that he/she can add and remove staff to the team and manage their powers (ordering or monitoring the spending of the grant).


In Albina, under the Organizations tab, click on Groups setup.

A window will open where you select Grant and select the employee to add to the team. You can assign this employee permissions to order on the grant and/or view the grant spendings.

Click the cross in front of the team member's name to delete them from the team.


1.1.1 Copying the research team from one grant to a new one

Grant managers can copy a team from an ongoing project to a new one. All team members are copied, including their permissions. The new team can of course be further modified (change permissions, delete or add additional members).


Procedure:

  1. Menu > Organization > Group members
  2. Select the grant from which you want to copy the team and click on the "copy" icon.
  3. Select the new grant to which you will copy the team and click "confirm"
  4. You can then edit the team of the new grant 


1.2 Department

The department manager has the right to assign a subordinate employee the authority to order to the department and/or view departmental spendings.


The manager, unlike the project leader, cannot add additional team members. These are determined by the Human Resources Department.


2. Change of grant name by the investigator

  • In Albina, the investigator can rename their grants and departments. 
  • User naming appears only to the investigator and members of the investigator's team. 
  • In selections where grants from across the department are available, the original name appears.

Procedure:

  1. Organization -> Groups setup

        2. Select the grant to rename and click the pencil button

    3. Rename the grant and confirm with the green button.


3. Inventory Subcommittees (ISs) - Setting

In Albina, only head of department can set the composition of the ISs in the Organization -> Inventory Committee section. 

 If the committee is not set, the warning triangle appears.  



Procedure:

  • Click on the alert triangle or directly on the Inventory Committee button to display a window where you select a department (if you are the head of more than one department) and add 2 ISs members. You can change the members as needed. 
  • You can remove a committee member by clicking on the cross next to their name
  • If you add or remove an employee in the ISs, an informational e-mail will be sent to the specific employee about the addition/removal from the ISs.
  • The head of department is automatically added as a member of the ISs.
